How to Set Up a New Insurance Plan in Open Dental

When a patient hands you a new insurance card, it is easy to rush the data entry, but failing to properly open dental set up insurance plan details often leads to immediate claim rejections or incorrect patient portion estimates. If the subscriber ID, group number, or carrier address is entered incorrectly, your claims will sit in "Waiting to Send" status indefinitely or return as "Invalid Subscriber" from your clearinghouse.

Before You Start

Before you begin, ensure your practice is already configured to send claims electronically. You should have your clearinghouse credentials entered in Setup > Program Links > [Your Clearinghouse Name]. Additionally, verify that you have the patient's insurance card in hand, as you will need the specific group number, subscriber ID, and the insurance company's mailing address or electronic payer ID.

Step-by-Step Instructions

Follow these steps to ensure your insurance plan is linked correctly to the patient's account.

  1. Open the Family Module: Locate the patient in the Select Patient window.
  2. Access Insurance Information: In the Family Module, look at the "Insurance" section on the right side of the screen. Click the "Add Ins" button.
  3. Select the Carrier: In the "Insurance Plan" window, click the "Pick Plan" button. Search for the insurance carrier by name. If the carrier does not exist in your database, click "Add" to create a new carrier entry. Ensure you enter the correct electronic Payer ID if you are submitting claims electronically.
  4. Enter Plan Details: Once the carrier is selected, return to the "Insurance Plan" window. Enter the "Group Name" and "Group Number" exactly as they appear on the card.
  5. Set Coverage Details: Click on the "Benefits" tab within the "Insurance Plan" window to enter the patient's annual maximum, deductible, and coverage percentages for diagnostic, preventative, and restorative procedures.
  6. Confirm Subscriber Information: Ensure the "Subscriber" is set correctly. If the patient is the subscriber, select "Patient." If it is a spouse or parent, select "Other" and search for the correct person in your database.
  7. Save the Plan: Click "OK" to save the insurance plan. The plan will now appear in the patient's Family Module, and you can now generate a "New Claim" button in the Account Module for this patient.
