If you are struggling to understand how much of your recommended treatment is actually being scheduled and completed, you need a clear way to measure your team's success. This open dental case acceptance rate query provides a breakdown of treatment planned versus treatment completed, helping you identify which providers are most effective at helping patients accept their care.
The Query
Copy and paste the following code into your User Query window. This query calculates the total dollar amount of treatment planned versus the amount completed for a specific date range.
SET @FromDate = '2026-01-01';
SET @ToDate = '2026-03-31';
SELECT
p.Abbr AS Provider,
SUM(CASE WHEN pl.ProcStatus = 1 THEN pl.ProcFee ELSE 0 END) AS TotalPlanned,
SUM(CASE WHEN pl.ProcStatus = 2 THEN pl.ProcFee ELSE 0 END) AS TotalCompleted,
ROUND(SUM(CASE WHEN pl.ProcStatus = 2 THEN pl.ProcFee ELSE 0 END) /
NULLIF(SUM(CASE WHEN pl.ProcStatus IN (1, 2) THEN pl.ProcFee ELSE 0 END), 0) * 100, 2) AS AcceptanceRatePercent
FROM procedurelog pl
INNER JOIN provider p ON pl.ProvNum = p.ProvNum
WHERE pl.ProcDate BETWEEN @FromDate AND @ToDate
AND pl.ProcStatus IN (1, 2)
GROUP BY p.ProvNum
ORDER BY AcceptanceRatePercent DESC;
How to Run This Query
- In Open Dental, go to Reports in the Main Menu.
- Click User Query.
- Paste the query provided above into the large text box.
- Click Submit Query.
- The results will display in the grid below.
Understanding the Results
- Provider: The abbreviation of the provider associated with the procedure.
- TotalPlanned: The total dollar value of procedures marked as "Treatment Planned" (Status 1) within your chosen date range.
- TotalCompleted: The total dollar value of procedures marked as "Complete" (Status 2) within your chosen date range.
- AcceptanceRatePercent: The percentage of treatment that was completed out of the total treatment planned and completed combined.
How to Customize
You can easily adjust this report to fit your specific needs by changing the values at the top of the query:
- Change the Date Range: Modify the dates in the
SETstatements at the top. For example, change'2026-01-01'to'2026-02-01'to start your report from February. - Filter by Clinic: If you have multiple locations, add a line under the
WHEREclause:AND pl.ClinicNum = 1(replace1with your specific Clinic Number). - Filter by Provider: To see data for only one provider, add
AND p.Abbr = 'DR1'to theWHEREclause, replacing'DR1'with the provider's actual abbreviation.
Variations
If you want to focus specifically on high-value procedures, you can add a filter to exclude small procedures (like simple exams) that might skew your percentages. Add this line before the GROUP BY clause:
AND pl.ProcFee > 100
This will only include procedures with a fee greater than $100 in your calculation.
